Purpose<\/h2>\n<p>WENEOS places particular importance on the protection of privacy and the confidentiality of information entrusted by volunteers participating in its studies.<\/p>\n<p>The purpose of this policy is to explain how volunteers&#8217; personal data are collected, used, stored, protected and, where applicable, anonymized in connection with their enrollment and participation in studies and evaluations conducted by WENEOS.<\/p>\n<p>Volunteers&#8217; personal data are strictly confidential. They are neither sold, rented, nor transferred to third parties for commercial purposes and are never used for advertising, prospecting, or commercial profiling. <\/p>\n<p>This policy applies specifically to data collected in connection with volunteer activity and supplements WENEOS&#8217;s general privacy policy.<\/p>\n<p>Commercial or marketing purposes that may be mentioned in WENEOS&#8217;s general privacy policy do not apply to data collected from volunteers in connection with their enrollment or participation in studies.<\/p>\n<h2>2. What Personal Data May We Collect?<\/h2>\n<p>WENEOS collects only the data necessary for volunteer management and the conduct of studies.<\/p>\n<p>Depending on your enrollment and the characteristics of the study concerned, the information collected may include:<\/p>\n<ul>\n<li>surname and first name;<\/li>\n<li>date of birth or age;<\/li>\n<li>sex;<\/li>\n<li>telephone and electronic contact details;<\/li>\n<li>internal volunteer identifier;<\/li>\n<li>photograph;<\/li>\n<li>videos or visual recordings made in connection with a study;<\/li>\n<li>phototype and\/or Individual Typology Angle (ITA\u00b0);<\/li>\n<li>relevant physiological characteristics;<\/li>\n<li>information necessary to verify inclusion or exclusion criteria;<\/li>\n<li>results of measurements and evaluations performed;<\/li>\n<li>medical information or health data strictly necessary to the protocol;<\/li>\n<li>history of participation in studies;<\/li>\n<li>administrative information necessary for the organization and follow-up of your participation.<\/li>\n<\/ul>\n<p>Only information necessary for the intended purpose is collected.<\/p>\n<p>Health data and particularly sensitive information are subject to enhanced protection measures.<\/p>\n<h2>4. Why Do We Use Your Data?<\/h2>\n<p>Data collected from volunteers may be used in particular to:<\/p>\n<ul>\n<li>manage your enrollment in the WENEOS volunteer database;<\/li>\n<li>verify your eligibility for certain studies;<\/li>\n<li>identify studies that may match your profile;<\/li>\n<li>contact you to invite you to participate in a study;<\/li>\n<li>organize your appointments;<\/li>\n<li>ensure the conduct of studies;<\/li>\n<li>perform the measurements specified in the protocols;<\/li>\n<li>ensure volunteer follow-up;<\/li>\n<li>analyze and scientifically exploit study results;<\/li>\n<li>ensure traceability of studies conducted;<\/li>\n<li>meet applicable quality, regulatory, and contractual requirements;<\/li>\n<li>ensure volunteer safety;<\/li>\n<li>enable control, audit, or verification of studies when necessary;<\/li>\n<li>perform statistical or scientific analyses.<\/li>\n<\/ul>\n<p>Communications that may be sent to you in your capacity as a volunteer concern exclusively your enrollment, your participation in studies, or proposals for new studies that may concern you.<\/p>\n<p>Your enrollment as a volunteer does not result in enrollment on any commercial prospecting list.<\/p>\n<p>Your contact details and other information collected in connection with your volunteer activity are not used to offer or sell you commercial products or services.<\/p>\n<h2>5. Scientific Use, Publications, and Presentations<\/h2>\n<p>Data and results obtained in connection with studies may be used by WENEOS for scientific, technical, educational, or institutional purposes.<\/p>\n<p>They may be used in particular in connection with:<\/p>\n<ul>\n<li>scientific publications;<\/li>\n<li>scientific or technical articles;<\/li>\n<li>scientific posters;<\/li>\n<li>reports or technical documents;<\/li>\n<li>conferences;<\/li>\n<li>congresses;<\/li>\n<li>seminars;<\/li>\n<li>webinars;<\/li>\n<li>training sessions;<\/li>\n<li>scientific or professional presentations;<\/li>\n<li>communications to the scientific or professional community.<\/li>\n<\/ul>\n<p>All data used in this context are anonymized before external dissemination. No element allowing direct identification of a volunteer is communicated. <\/p>\n<p>Results may be presented in the form of statistical data, graphs, tables, illustrations, photographs, or anonymized videos.<\/p>\n<h3>Photographs and Videos<\/h3>\n<p>Certain studies may require the production of photographs or videos to document a studied area, the application of a product, a measurement technique, an evolution, or any other element necessary to the study. The consent signed before each study recalls these elements. <\/p>\n<p>These photographs or videos may be used in connection with publications, conferences, congresses, seminars, training sessions, or scientific or professional presentations.<\/p>\n<p>When used outside the internal study file, they are systematically anonymized so that the volunteer cannot be directly identified.<\/p>\n<p>This may include, as applicable:<\/p>\n<ul>\n<li>framing limited to the studied area;<\/li>\n<li>masking or blurring of identifying elements;<\/li>\n<li>removal of all nominative information;<\/li>\n<li>any other measure enabling prevention of direct identification of the person.<\/li>\n<\/ul>\n<p>No photograph or video allowing direct identification of a volunteer is communicated to a client, sponsor, partner, or other third party.<\/p>\n<p>The only case of access to directly identifying data remains that of a legally founded request from a competent authority.<\/p>\n<h2>6. Data Confidentiality<\/h2>\n<p>Volunteers&#8217; personal data remain strictly confidential.<\/p>\n<p>Within WENEOS, access is limited to authorized persons only who require it in the course of their duties, in particular for:<\/p>\n<ul>\n<li>volunteer management;<\/li>\n<li>organization and conduct of studies;<\/li>\n<li>volunteer follow-up;<\/li>\n<li>analysis of results;<\/li>\n<li>quality activities;<\/li>\n<li>security;<\/li>\n<li>compliance with regulatory obligations.<\/li>\n<\/ul>\n<p>Staff members with access to this information are subject to confidentiality obligations.<\/p>\n<p>Access to health data is particularly restricted and limited to persons for whom such access is strictly necessary.<\/p>\n<p>No directly identifying data relating to volunteers are communicated to clients, sponsors, partners, or other third parties.<\/p>\n<p>Any data or results transmitted outside WENEOS are systematically anonymized so as not to allow identification of the volunteer concerned.<\/p>\n<h2>7. Transmission of Data to Clients and Sponsors<\/h2>\n<p>Clients, sponsors, partners, or other third parties never have access to directly identifying personal data of volunteers.<\/p>\n<p>Results communicated in connection with a study are systematically transmitted in anonymized form.<\/p>\n<p>Reports, results, tables, graphs, photographs, or other elements communicated to a third party are processed beforehand so as to prevent identification of the volunteer.<\/p>\n<p>Conducting a study for a client or sponsor therefore confers no right of access to volunteers&#8217; direct personal data.<\/p>\n<p>The only case in which directly identifying data may be communicated to a third party concerns a legal or regulatory obligation or a request from a competent authority in the course of its control missions.<\/p>\n<p>In that case, only strictly necessary data are communicated, under the conditions provided by applicable regulations.<\/p>\n<h2>8. Service Providers and Subcontractors<\/h2>\n<p>WENEOS may use technical service providers for certain operations necessary to its activity, in particular for hosting, IT maintenance, or management of certain business applications.<\/p>\n<p>When these service providers operate on systems likely to contain personal data, their access is strictly limited to what is necessary for their mission and contractually governed.<\/p>\n<p>They are required in particular:<\/p>\n<ul>\n<li>to comply with applicable regulations;<\/li>\n<li>to process data only according to WENEOS&#8217;s instructions;<\/li>\n<li>to guarantee their confidentiality;<\/li>\n<li>to implement appropriate security measures;<\/li>\n<li>not to exploit the data for their own account.<\/li>\n<\/ul>\n<p>Service providers have no right allowing them to sell, transfer, reuse, or exploit volunteers&#8217; data for their own purposes.<\/p>\n<h2>9. Data Protection and Security<\/h2>\n<p>WENEOS implements technical and organizational measures appropriate to the sensitivity level of the information processed in order to protect data against:<\/p>\n<ul>\n<li>unauthorized access;<\/li>\n<li>disclosure;<\/li>\n<li>loss;<\/li>\n<li>destruction;<\/li>\n<li>alteration;<\/li>\n<li>misuse.<\/li>\n<\/ul>\n<p>Depending on the data concerned, the measures implemented may include:<\/p>\n<ul>\n<li>limitation and control of access;<\/li>\n<li>authorization management;<\/li>\n<li>user authentication;<\/li>\n<li>pseudonymization;<\/li>\n<li>encryption;<\/li>\n<li>backups;<\/li>\n<li>traceability of operations;<\/li>\n<li>securing of infrastructure and information systems.<\/li>\n<\/ul>\n<p>Medical data and health data are subject to enhanced protection measures.<\/p>\n<h2>10. How Long Do We Retain Your Data?<\/h2>\n<p>WENEOS applies different retention periods depending on the nature and purpose of the information concerned.<\/p>\n<h3>Data Relating to Your Enrollment as a Volunteer<\/h3>\n<p>Information necessary for the management of your volunteer profile is retained for a minimum period of two years after your last activation.<\/p>\n<p>Any significant interaction related to your volunteer activity is considered an activation, such as participation in a study, an update to your profile, or any other action confirming your intention to remain active in the WENEOS volunteer database.<\/p>\n<p>This period may be extended when you continue to participate in studies or when retention of the information remains necessary in view of the purposes for which it was collected.<\/p>\n<h3>Data Relating to Studies<\/h3>\n<p>Data, results, and documents associated with a study are retained for a period of 10 years after completion of the study.<\/p>\n<p>This retention enables in particular:<\/p>\n<ul>\n<li>ensuring scientific traceability of results;<\/li>\n<li>enabling subsequent verification of studies;<\/li>\n<li>meeting quality requirements;<\/li>\n<li>meeting regulatory or contractual obligations;<\/li>\n<li>enabling management of any claims;<\/li>\n<li>ensuring the integrity of scientific data produced.<\/li>\n<\/ul>\n<p>A longer period may exceptionally be applied when a regulatory, legal, or contractual obligation requires it.<\/p>\n<p>At the end of applicable retention periods, data are securely deleted or irreversibly anonymized when retention of results presents a scientific, statistical, regulatory, or historical interest.<\/p>\n<h2>11. Data Anonymization<\/h2>\n<p>In order to preserve volunteers&#8217; confidentiality while guaranteeing the validity, integrity, and traceability of studies conducted, WENEOS may proceed with irreversible anonymization of personal data.<\/p>\n<p>When the conditions applicable to a request for erasure are met, information allowing direct identification of the volunteer may be deleted or anonymized.<\/p>\n<p>When certain data from a study must be retained in order to guarantee scientific integrity, traceability, or compliance with obligations applicable to that study, they may be irreversibly anonymized rather than deleted.<\/p>\n<p>After irreversible anonymization, it is no longer possible for WENEOS to identify the person concerned from the information retained.<\/p>\n<p>Anonymization thus makes it possible to retain the results necessary for the scientific justification of the study while removing the link allowing identification of the volunteer.<\/p>\n<h2>12. Your Rights<\/h2>\n<p>In accordance with applicable regulations on the protection of personal data, you may, subject to the conditions provided therein, exercise in particular the following rights:<\/p>\n<ul>\n<li>right of access to your data;<\/li>\n<li>right to rectification of inaccurate or incomplete data;<\/li>\n<li>right to erasure;<\/li>\n<li>right to restriction of processing;<\/li>\n<li>right to object where applicable;<\/li>\n<li>right to portability when the conditions provided by the regulations are met;<\/li>\n<li>right to withdraw your consent when processing is based on it.<\/li>\n<\/ul>\n<p>You may also request not to be contacted to participate in new studies.<\/p>\n<p>This request does not necessarily result in deletion of data relating to studies in which you have already participated when they must be retained for scientific, regulatory, contractual, or traceability reasons.<\/p>\n<p>In that case, information allowing direct identification of you may be irreversibly anonymized so that it is no longer possible to identify you, while enabling WENEOS to retain the results necessary for the integrity and traceability of the study.<\/p>\n<p>Exercise of a right is assessed according to the nature of the processing and the obligations applicable to WENEOS.<\/p>\n<h2>13. Withdrawal of Your Enrollment as a Volunteer<\/h2>\n<p>You may at any time request not to remain enrolled as an active volunteer with WENEOS and not to receive proposals to participate in new studies.<\/p>\n<p>This request may be addressed to WENEOS or directly to our Data Protection Officer.<\/p>\n<p>Withdrawal of your enrollment as a volunteer does not necessarily result in immediate deletion of data relating to studies already conducted.<\/p>\n<p>Information relating to these studies remains subject to its retention period of 10 years after the study and may be anonymized in order to preserve the integrity and traceability of results.<\/p>\n<h2>14. Access by Competent Authorities<\/h2>\n<p>Directly identifying personal data of volunteers are accessible only to authorized WENEOS personnel.<\/p>\n<p>They are never transmitted to clients, sponsors, partners, or other third parties.<\/p>\n<p>All external communication is performed in anonymized form.<\/p>\n<p>By exception, certain directly identifying data may be communicated when WENEOS is required to respond to a legal or regulatory obligation, or to a request from a competent authority in the course of its control missions.<\/p>\n<p>In that case, communication is limited to only the data strictly necessary for the request or control concerned.<\/p>\n<h2>15. Incidents and Data Breaches<\/h2>\n<p>WENEOS has a procedure for managing incidents likely to affect personal data.<\/p>\n<p>Any data breach is subject to an analysis enabling identification of:<\/p>\n<ul>\n<li>the nature of the incident;<\/li>\n<li>the information concerned;<\/li>\n<li>persons potentially concerned;<\/li>\n<li>possible consequences;<\/li>\n<li>necessary corrective measures.<\/li>\n<\/ul>\n<p>When regulatory conditions are met, the competent supervisory authority as well as the persons concerned are informed in accordance with applicable requirements.<\/p>\n<h2>16.
